The first ten minutes
While you wait for the technician, these steps protect the load and the evidence.
- Read the front panel. Write down the alarm codes, the messages and whether the UPS shows “on bypass”, “on battery” or “fault”. A photo of the display is enough.
- Do not clear alarms or restart repeatedly. The event log is how the cause is found. Restarting a UPS that tripped on a fault can repeat the fault.
- Check the input. If the building power is down, the UPS is doing its job: note when the outage started, because runtime is limited.
- Leave the battery cabinet closed. A swollen, hot or leaking battery is a hazard. Keep people away and tell us when you call.
- Know your bypass. If the UPS is on static bypass, the load is on raw utility power with no battery protection. Avoid switching it yourself unless your site procedure covers it.
- Have the details ready: make, model, serial number, site address, access contact and what the load is.

What happens on site
The technician reads the event log and alarm history, checks the input, output and bypass, measures the battery string and inspects fans, capacitors and connections. Common causes of UPS failures
- Batteries at end of life. A frequent reason a UPS drops its load during an outage. See UPS battery replacement.
- Fans and capacitors. Wear parts with manufacturer replacement intervals: Eaton, for example, recommends replacing power-train capacitors around 7 years of operation 1, with the fans at the same time 2.
- Input power events. Surges, sags and generator transfers can trip a UPS to bypass.
- Overload. Added equipment pushes the load past the UPS rating and forces a transfer to bypass.

Common questions
Can a UPS be repaired?
Most commercial and data-centre UPS faults are repairable: batteries, fans, capacitors, power modules, boards and contactors are replaceable parts. Repair stops making sense when the manufacturer no longer supplies parts for the model or the repair cost approaches a replacement; we tell you which case you are in.
Is UPS repair worth the cost?
For three-phase and larger single-phase units, usually yes: a repair is a fraction of a replacement and keeps the existing wiring and installation. For small plug-in units, replacing the unit is often cheaper. We quote both when it is close.
